Photocopying and Scanning on the Staunton Campus from the MFP (Multi Function; Printer, Scanner, Photocopier)

The MFPs located in Grafton Library, the Pearce Science Center, Carpenter Academic and the Murphy Deming College of Health Sciences can print, photocopy and scan your documents.  Directions on their use are here:

Photocopying from the MFP

A.    Swipe Mary Baldwin ID card (1)  with the magnetic stripe UP  – OR –

B.    Enter Mary Baldwin ID Number on the keypad and click Start (2)

  • If copying for your department, press Next
  •  If copying for another department, enter billing # using Keypad and press Next

D) Students

  • If copying for yourself, press Next
  • If copying for a department, enter billing # using Keypad and press Next

E.    Once logged in, Students can check their balance at the top of the screen .

F. Click on Enable CopierBalanceAndCopy

G.    Make desired copy Selections, click START (7).CopyChoicesAndStart

H.    To logout when finished, click Home on the left (8) then press Logout (9) and then press Logout on the lower left (10).

Scan to USB Drive

A.    Swipe Mary Baldwin ID card (1)  with the magnetic stripe UP  – OR –

B.    Enter Mary Baldwin ID Number on the keypad and click Start (2)

C.    Press Next (3) and click on Home.

D.    Insert the USB drive in the USB slot (4) and push the Scan to USB button (5).

E.    If you don’t want to change the Scan Settings, 1 Sided Original to 2 Sided, or name the file, go to J.
F.    To change the Scan Settings, press Scan Settings (6).  Adjust settings as required and press OK.

G.    The default is 1 Sided Original.  To change to 2 Sided Original, press Original Feed Type (8).  Click on 2 Sided Original  (9) and press OK (10).

H.    To name your file, press Send File Type/Name (11) then press “File Name” on screen to get the keyboard.  Otherwise go to J.
I.     Use the displayed keyboard to type in the filename and click on OK (12)

J.    Click Start (13).  When Writing complete message appears, press Exit (14). Scanning is complete.  Despite what the screen says, you cannot remove your USB drive until the next step.

K.    When finished, click the Home button (15) and then Logout Button (16) and the Logout Button (17).

Scan to Department Drive

A.    Swipe Mary Baldwin ID card (1) OR
B.    Enter Mary Baldwin ID Number on the keypad and click Start (2).

E.    Press the Department Folder tab (5).
F.    Then click the type of document you prefer, MSWORD .doc, Searchable .pdf or TIFF/JPG

G.    Press the Department Folder where your scanned file will go.(8).
H.    To name your file or change the PDF or OCR options, press OK (9), otherwise go to M.

I.    To name your Scanned Document File, Press Document Name (11).

J.    Use the displayed keyboard to type in the filename for your scanned documents and press OK (12).

K.    To Change your Scan Settings Press Scan Settings (13), otherwise go to M.

L.    Change the Scanning Settings as required and press OK (14).

M.    Click Start (15).  When scanning log message appears, press OK (16). Scanning is complete.

N.    When finished, click the Home button (17) and then Logout (18) and  Logout again. (19).

Scan to the U: Drive

A.    Swipe Mary Baldwin ID card (1) OR
B.    Enter Mary Baldwin ID Number on the keypad and click Start (2).

E.    Make sure the U: Drive tab is highlighted.
F.    Then click the type of document you prefer, MSWORD .doc, Searchable .pdf or TIFF/JPG

G.    You will be pointed to your U: Drive Home Folder.  To scan into a Sub-folder, press the folder icon.(8) and choose a Sub folder (9).  If you have no Sub folders, press the Home Folder (11) to go back .

Frequently Asked Questions:

How can I scan in color, or multiple pages?

Swipe your card or type in your Employee or Student ID Number and then click on Next
Choose Global Scan
Choose PDF – click on Next
Click on Scan Settings and under Scan Type choose Color – Text and Photo (it’s not on the first screen, you can only see B&W options there, but when you click on the down triangle you can get the color ones).
On File Format, change JPEG to Multi Page PDF if you need multiple pages

How can I scan multiple pages into separate documents?

Scanning multiple documents into multiple TIFF files can be done by scanning each document separately, or by following the instructions below:

To be able to create individual TIFF files from multiple scanned documents, you scan scan each document separately, or you can change a setting on the Ricoh copier before pressing the Start/Scan button.

  1. Choose the GlobalScan Option to scan, and continue to the screen where you would name the document(s) to be scanned.
  2. Below the Document Name button is the Scan Settings button – press to display the next screen.
  3. Find File Format Black & White: Change the drop down box from TIFF (MMR, multi-page) to TIFF (MMR, single-page).
  4. Press OK at upper right top of screen and you will be back at the previous page.
  5. Press Start button to scan all pages at once.

Your scanned documents will have the name you entered + 001, 002, etc., appended to the end of each TIFF file.
